Your customer list is one of the most valuable things your business owns — names, addresses, phone numbers, what's installed in their house, what they paid. Handing any of that to a new system deserves a hard look. Here's the straight version.

Your data stays in your CRM

The most important point: the customer records live in your CRM, under your account. The AI reads from it and writes to it, the same way a receptionist with a login would. It isn't a separate pile of data sitting somewhere you can't see.

That matters most on the day you'd want to walk away. If you ever end the relationship, your customer list is still yours, still in your system, and still exportable. You aren't renting access to your own contacts.

It runs on established platforms

A proper buildout isn't held together with hobby tools. It runs on established, business-grade platforms — the same category of software already handling scheduling and payments for thousands of contractors — with encryption in transit, access controls, and real support behind them.

Who can see what

Access should be limited to the people who need it, and you should be able to see who has it. In a professional setup, admin access is yours, and anyone helping maintain the system has an account you can revoke. There's no reason for a vendor to need permanent shared credentials to your email or your bank.

Call recordings and transcripts

If calls are recorded or transcribed, know where those sit, how long they're kept, and who can play them back. Some states require notifying callers that a call is recorded — that's a normal thing to configure, and it should be handled at setup rather than left for you to discover.

Questions worth asking any vendor

  • Whose account is the CRM under — mine or yours?
  • Can I export my full customer list today, without asking you?
  • What happens to my data if we stop working together?
  • Who on your side has access, and can I revoke it?
  • Are calls recorded, and where are the recordings stored?

A vendor who answers these easily is one worth working with. One who gets vague is telling you something.

The part people forget

Ask what your data situation looks like right now. Leads in a personal Gmail, customer numbers in one guy's phone, addresses on paper in the truck — that's not more secure than a proper CRM, it just feels familiar. Most shops end up better protected after a buildout, not worse.
