This is the question that comes up right after "sounds good" — how does some AI know what I charge, where I drive, or that I don't touch mobile homes? It's the right thing to ask, because an agent that doesn't know your business is worse than no agent at all.
It's trained on your specifics, not generic answers
The agent isn't guessing from what plumbers generally do. It's set up with your actual details: the services you offer and the ones you don't, your service area down to which suburbs you'll drive to, your hours, your diagnostic fee, your emergency policy, your brands, your warranty terms, and the questions customers ask you all day long.
That comes out of a conversation at setup. You answer questions about how you run — the same things you'd tell a new hire on their first morning — and that becomes what the agent knows.
Your FAQs become its script
Every trade has the same fifteen questions on repeat. Do you charge for estimates? How soon can someone come out? Do you work on tankless? Are you licensed and insured? Do you take weekend calls, and does that cost more?
You already answer these fifty times a week. Written down once, the agent answers them exactly the way you would — consistently, without the version that comes out when you're tired at 6pm.
You control what it won't say
Just as important is the list of things it should never do. Don't quote a price for a full system replacement. Don't promise same-day in August. Don't book anything past the county line. Don't guarantee a warranty claim.
When a call runs into one of those, the agent doesn't improvise — it takes the details and hands it to a human. A good agent knows the edge of what it's allowed to say and stops there, which is more than you can say for some receptionists.
It changes when your business changes
Prices go up in the spring. You add ductless mini-splits. You pull back the service area during your busy season. You just say what changed and it's updated — no rebuilding anything.
Check it yourself
Early on, listen to a few real calls. You'll hear immediately whether it's describing your business the way you'd describe it, and anything that's off gets tightened up. Most of that settles within the first week or two.
